What it does
Taking bookings through a form usually means someone has to read each entry and add it to a calendar manually. That step is slow and easy to get wrong. This add-on handles it for you: when a visitor submits a form, an event is created on the Google Calendar you choose, with the title, description, location and time filled in from the visitor's answers. You can send invites to the person who submitted the form and to other guests, and add a Google Meet link when the meeting is online.
Setup happens inside Gravity Forms through a feed, with event times taken from mapped Date and Time fields and either a fixed duration or mapped end fields. A Booking Slot field offers only times that are free on the calendar, based on a weekly schedule, date exceptions and busy times. A Calendar Event field lets visitors register for events already on a calendar, with capacity tracked. Edits, deletions and refunds sync back as cancellations or reschedules, and the connection uses OAuth authentication.
Best for
- Service businesses taking appointments through Gravity Forms
- Event organizers managing registrations and limited capacity
- Consultants booking online meetings with Google Meet links
Features
Each submission can create a Google Calendar event, with times taken from mapped Date and Time fields and either a fixed duration or mapped end fields.
Event titles, descriptions, locations and times can be filled in from what the visitor entered, so each calendar entry reflects the actual booking.
A Booking Slot field shows only open times, worked out from a weekly schedule, date exceptions and busy data from the target and any conflict calendars.
A Calendar Event field lets visitors sign up for events already on a calendar, shows remaining places, and can add each registrant to the event as a guest.
Send calendar invitations to mapped and fixed guests, create Google Meet links, and place event and Meet links in messages using merge tags.
Create events only when certain form conditions are met, or hold event creation until payment is received.
When an entry is edited, trashed, deleted or refunded, the linked calendar event is updated or cancelled to match.
Send events to different Google Calendars for separate teams or services, with support for all-day events, recurrence rules and timezone settings.
Questions about Gravity Forms Google Calendar Add-On
Can visitors pick only times when I am actually available?
Yes. The Booking Slot field offers only times that are free on the target calendar. It works from a weekly schedule you set, any date exceptions, and Google's busy information for the target calendar and any conflict calendars you add.
What happens if a booking is changed or refunded?
The add-on syncs cancellations and reschedules. When an entry is edited, moved to trash, deleted or has its payment refunded, the related Google Calendar event is updated or cancelled. You can also hold event creation until payment is received.
Can I limit how many people register for an event?
Yes. The Calendar Event field lets visitors register for events that already exist on a calendar. Capacity is counted from Gravity Forms entries, remaining places appear in the choice label, and registrants can optionally be added to the event as guests.
Do I need to write code to set it up?
No coding is needed. Configuration happens inside Gravity Forms using a feed, where you map form fields to event details. A Send Test button lets you check the feed, and the entries list includes a filterable Google Calendar column.
