Gravity Forms Overflow Add-On
Gravity Forms Overflow Add-On is a WordPress plugin by Gravity Forms that extends the Entry Limit and Schedule Form restrictions. Instead of closing a form once it fills up or its schedule ends, it keeps accepting submissions and sorts the extras into a separate overflow list you can manage as a waitlist.

What it does
Gravity Forms lets you cap a form with an entry limit or close it on a schedule. Normally that means the form simply shuts, and anyone who arrives late is turned away, often right when interest is highest. This add-on keeps the form open past that point and collects the additional submissions in their own overflow list, kept apart from the entries that made the original cut. You still get your hard capacity, and you also keep a record of everyone else who wanted in.
The overflow list works as a waitlist. You can optionally track each entry's position in the queue, and merge tags let you show someone their place and how many people are ahead of them. When a spot opens, you can move a single entry to the confirmed list, promote several at once with a bulk action, or let entries promote automatically as space frees up. It builds on the restriction settings you already use, so it suits events, bookings, classes and limited registrations.
Best for
- Event organizers with limited seats or tickets
- Classes, workshops and courses with capped enrollment
- Booking forms where demand can exceed available slots
Features
Keep accepting submissions after a form reaches its configured entry limit, so later visitors are added to an overflow list instead of seeing a closed form.
Continue capturing interest once a scheduled form passes its end date, routing those late submissions into the overflow list rather than turning people away.
Additional submissions are stored apart from the entries that fell within the original limit, so confirmed entries and waiting entries never get mixed up.
Optionally record each entry's position in the queue to preserve the order people joined, with merge tags for their position and the number of people ahead.
Use the Move to Confirmed row action for a single entry, or the Promote to Confirmed bulk action when several places open at the same time.
Let waiting entries move up on their own when a confirmed slot frees up, so nobody has to watch the list and promote people by hand.
Extends the Entry Limit and Schedule Form settings already in Gravity Forms instead of replacing them with a separate system you need to learn.
Questions about Gravity Forms Overflow Add-On
What happens when my form reaches its entry limit?
Instead of closing, the form stays open and further submissions go into a separate overflow list. The entries within your original limit stay in the main list, so you always know who is confirmed and who is waiting.
Can people see where they are on the waitlist?
Yes, if you turn on ordered queue positions. The add-on provides {overflow_position} and {overflow_people_ahead} merge tags, which you can use to tell each person their place in line and how many people are ahead of them.
How do waitlisted entries get moved into the confirmed list?
You have three options. Promote one entry with the Move to Confirmed row action, promote a group with the Promote to Confirmed bulk action, or enable automatic promotion so entries move up when a confirmed slot frees up.
Does it work with scheduled forms as well as entry limits?
Yes. It extends both the Entry Limit and Schedule Form restrictions in Gravity Forms, so you can keep a form open past its cap, past its schedule end, or both, with extra submissions sent to the overflow list.
