What it does

Many organizations collect requests through forms and then route them by hand: someone reads the entry, emails a manager, waits for a reply and passes it along. This plugin replaces that manual handling. It works on top of Gravity Forms, so any form you build there can start a workflow. Common uses include hiring, employee onboarding, invoice processing and leave applications, where each submission needs review, sign-off or follow-up from different people.

You build a workflow from more than 40 action steps, including approvals, rejections, reverts and assignments. Conditional logic sends each entry down the right path based on what the user entered, and a Choice Routing step can pick the next step from a select or radio field. Email notifications and reminders keep people informed at each stage, reports help you spot bottlenecks, and data stays on your own server. Workflow data can also be sent to outside applications, including through an outgoing webhook step.

Best for

  • Businesses running approval processes through Gravity Forms
  • HR teams handling onboarding and leave requests
  • Agencies building internal request systems for clients

Features

Multi-step workflow builder

Design workflows from more than 40 action steps, such as approvals, rejections, reverts and assignments, to match your process without writing code.

Conditional logic routing

Route each form submission to the correct path based on user inputs and your own rules, so every entry follows the right sequence of steps.

Choice routing step

Send the workflow to different next steps depending on the value a user picks in a select or radio form field.

Notifications and reminders

Automatic email notifications and reminders go out at each stage of a workflow, so assignees and stakeholders know when something needs their attention.

Workflow reporting

Detailed reports show how your workflows are performing, helping you find where entries get stuck and adjust your process over time.

Data kept on your server

All workflow data stays on your own server, and you can add delete data steps inside workflows to help manage privacy requirements.

Workflow status bulk actions

From the Workflow Status screen, use bulk actions to send several entries to a chosen step when the list is filtered to a specific form.

External app connections

Send form submissions and workflow data to other work applications, for example through an outgoing webhook step with configurable request settings.

Questions about Gravity Flow

Do I need Gravity Forms to use this plugin?

Yes. The plugin is built to work with Gravity Forms and runs its workflows on entries submitted through Gravity Forms. You create the form in Gravity Forms, then add workflow steps that decide what happens after someone submits it.

Can a workflow take different paths depending on the answers?

Yes. Conditional logic routes submissions based on user inputs and rules you set. There is also a Choice Routing step that sends the workflow to a different next step depending on the value chosen in a select or radio field.

What kinds of processes can I automate?

Typical examples include hiring, employee onboarding, invoice processing and leave applications. Any form-based task that needs approvals, assignments, reviews or notifications to several people can be set up as a workflow using the available action steps.

Does it work with GravityView?

Yes. Gravity Flow integrates with GravityView, and its workflow approval fields are available in the GravityView field picker on both the Single Entry and Multiple Entries configuration tabs, along with workflow detail and approval links.

Is Gravity Flow free?

The code of Gravity Flow is licensed under the GPL, so anyone may use, change and share it. GPL Feast is a paid service: a plan or a single purchase gives you the download and automatic updates. The developer's own support, licence key and online services are not included.

Which version of Gravity Flow is this?

Version 3.1.0, released Jul 1, 2026. New versions appear here when the developer publishes them, and members get them as automatic updates.

How do I update Gravity Flow?

Install the free GPL Feast Updater on your site and connect it with your API key. It installs new versions of Gravity Flow automatically and keeps a backup, so you can roll back.
